Primary Services is looking for a detail-oriented and proactive Operations Administrator to support our prestigious client in the commercial services industry. This position plays a key role in supporting sales operations and procurement processes, ensuring smooth material flow, accurate documentation, and effective cross-functional communication across departments.

Responsibilities:

  • Create, submit, manage, and track material orders.
  • Process change orders and maintain updated records.
  • Monitor order status and provide updates to account managers.
  • Facilitate communication with sales, warehouse, and installation departments.
  • Resolve issues related to products, pricing, and services.
  • Assist with sample orders, submittals, closing documents, and LEED packages.
  • Prepare prequalification packets for new bid submissions.
  • Manage contract documentation and initiate project job setup.
  • Process warehouse pulls using inventory software.
  • Maintain and track warehouse stock levels.
  • Manage insurance requirements for subcontractors and project sites.
  • Perform general clerical support and maintain file systems.

Qualifications:

  • High school diploma or equivalent required; bachelor’s degree preferred.
  • Experience in material procurement required.
  • Commercial flooring experience preferred.
  • Proficient in Microsoft Office with advanced Excel skills.
  • Strong organizational skills and attention to detail.
  • Experience managing project documentation and coordinating with multiple departments.
  • Familiarity with warehouse inventory systems is a plus.
