Part-Time Executive Administrator (100% Remote)

Support our San Mateo Office

Hours: Monday – Friday, 9:00 AM – 12:00 PM (Pacific Time)

Location: Remote

About the Position:

We are seeking a Part-Time Executive Administrator to provide direct administrative support to the COO and CEO.

The ideal candidate is professional, courteous, a fast learner, and highly meticulous.

You should have at least 5+ years of office or remote work experience , be comfortable working with different personalities, operate independently with minimal guidance, handle some ambiguity, and exercise sound judgment when discretion is required.

You must be able to prioritize tasks by urgency and importance and own your role with pride in your work.

What We’re Looking For:

  • An experienced individual who can work independently
  • Someone seeking steady, part-time hours (3 hours/day, 5 days a week)

Key Responsibilities:

  • Manage calendars, including scheduling meetings with board members, investors, and partners
  • Biweekly payroll entry
  • Data entry, drafting, and proofreading agreements and contracts before uploading to DocuSign
  • File signed documents in SharePoint
  • File forms with state or city agencies
  • Manage software subscriptions and vendor service contracts
  • File expense reports (experience with Expensify is a plus)
  • Review and report corporate credit card balances monthly
  • Brief COO on weekly/monthly deadlines and the status of pending issues
  • Report directly to the COO

Required Skills & Qualifications:

  • BA/BS degree in Finance, Accounting, Business, or Communication
  • Minimum 5 years of administrative experience
  • Strong internet research skills and the ability to learn new procedures online
  • Good judgment in assessing and acting on information
  • Skilled in bureaucratic processes (e.g., filing forms with government/state/city agencies)
  • Proficient in:
  • Microsoft Office Suite (Excel, Word, PowerPoint, Visio, SharePoint)
  • Google Suite
  • Online cloud storage systems (especially SharePoint)
  • Excellent written and verbal communication skills
  • Strong time management and prioritization skills
  • Proactive, organized, with excellent follow-through
  • Ability to remain calm under pressure in a fast-paced environment
  • Strong sense of confidentiality, discretion, and professionalism
  • Dependable, punctual, and highly ethical
