We are seeking a dynamic, engaging, and emotionally intelligent individual as an Executive Assistant. This is a trusted, high-visibility role that will play a critical part in ensuring the day-to-day operations of the office run smoothly and efficiently. This is a vital role which will focus on administrative functions supporting our entire Executive team, especially the Chief Development Officer and our Business Development team, our Chief Clinical Officer, and our CEO. This position will work closely with and report to the Managing Executive Assistant.

Responsibilities

  • Provide administrative and logistical support for the office and the executive team
  • Manage complex calendars, prioritize meetings, and coordinate internal and external appointments
  • Organize travel arrangements, prepare itineraries, and process expense reports
  • Anticipate the needs of the office and executives, and proactively address them
  • Handle confidential and time-sensitive information with professionalism and discretion
  • Assist in office management functions such as working with vendors on kitchen and office supplies, and ensuring a professional office environment
  • Take the lead on special projects for the office and ad-hoc initiatives at the request of the executive team
  • Plan and execute visits to SALT’s Phoenix Home Support Office (HSO) for prospective partners, ensuring a seamless, concierge-level experience from travel to onsite meetings.
  • Assist in planning SALT Dental’s participation at industry conferences and organize end-to-end logistics: travel, accommodations, vendor coordination, and preparation of materials.
  • Support the execution of external-facing events such as seminars, receptions, and networking functions in collaboration with the Business Development team.
  • Assist with post-meeting and post-event outreach, including follow-ups, thank-you notes, and ongoing communication with prospects and partners.
  • Design and manage a personalized gifting program for current and future business partners, ensuring thoughtful, tailored experiences that reflect SALT’s brand and values.
  • Serve as a key point of contact for both internal and external stakeholders, ensuring prompt, polished, and solutions-oriented support.

Qualifications

  • Emotional Intelligence: Exceptional interpersonal skills with the ability to build rapport, read a room, and adapt to different personalities and situations with professionalism and warmth.
  • Communication: Strong verbal and written communication skills; comfortable drafting polished correspondence and speaking on behalf of senior leaders.
  • Organization & Time Management: Highly organized with the ability to manage multiple priorities, track follow-ups, and meet tight deadlines in a fast-paced environment.
  • Detail-Oriented: Strong attention to detail, especially when managing event logistics, travel arrangements, and personalized gifting.
  • Event Planning: Skilled in coordinating complex events, including internal summits, client visits, and conference participation.
  • Client Service Mindset: A proactive, concierge-level approach to client and prospect experience, with a passion for creating memorable, thoughtful interactions.
  • Tech Savvy: Proficient in Microsoft Office Suite (Word, PowerPoint, Excel, Outlook, Teams), and experienced in planning and executing virtual meetings as well as managing conference room AV/IT.
  • Team Player: Collaborative and responsive, with a willingness to support team members and cross-functional partners.
  • Initiative-Driven: Self-starter who anticipates needs and solves problems before they arise.
