Job Title: Virtual Executive Assistant

Job Summary:

We are seeking a proactive and highly organized virtual executive assistant to support our team with administrative and operational tasks in a remote setting. This role requires strong communication skills, time management, and the ability to work independently while handling multiple responsibilities.

Key Responsibilities:

  • Manage and organize schedules, meetings, and appointments.
  • Handle emails, messages, and inquiries in a professional and timely manner.
  • Prepare reports, presentations, spreadsheets, and documents as needed.
  • Maintain and update digital records, databases, and file management systems.
  • Conducted research and compiled data for business projects.
  • I'd like you to please assist in social media management, content creation, and email marketing (if applicable).
  • Provide customer support via email, chat, or phone when needed.
  • Manage online tools, software, and cloud-based platforms for collaboration.
  • Could you assist with invoicing, expense tracking, and financial documentation?
  • Please make sure the company information is confidential and secure.

Qualifications & Skills:

  • A high school diploma or equivalent (associate’s or bachelor’s degree preferred) is required.
  • Previous experience as a Virtual Assistant, Administrative Assistant, or similar role.
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint) and Google Workspace.
  • Familiarity with project management tools (Asana, Trello, ClickUp) and communication platforms (Slack, Zoom).
  • Strong written and verbal communication skills.
  • Excellent time management, organization, and problem-solving abilities.
  • Ability to work independently with minimal supervision.
  • Reliable internet connection and access to necessary remote work tools.

Preferred Qualifications:

  • Experience with bookkeeping software (QuickBooks, FreshBooks) is a plus.
  • Knowledge of CRM systems (Salesforce, HubSpot).
  • Background in customer service, marketing, or content creation.
