Job Description

Office Manager/Executive Assistant – Real Estate Investment Firm

Boutique real estate investment firm is looking for an Executive Assistant/Office Manager to join their growing team! This individual will provide administrative support to the Founder and assist two other C-Suite executives as needed. Applicants must have prior experience streamlining workflow and initiating and managing new processes to help increase office efficiency. This individual will also function as the Office Manager and will be the main point person for the NYC office as well as coordinating with their other offices around the country.

Responsibilities Include:

  • Answer and screen busy phones for Founder and act as brand ambassador to clients
  • Actively maintain calendars, schedule meetings and arrange appointments. Reserve conference rooms, lunches, dinners, security passes etc. accordingly.
  • Coordinate primarily domestic and occasional international travel; Prepare clear and accurate travel itineraries with air, ground transportation, hotel and dining reservations.
  • Maintain and stock the kitchen with food/drink, order supplies, deal with vendors, maintain office space, dealing with mail and packages, FedEx and messengers, IT needs, etc.
  • Assist in generating investor reports and presentations for client meetings
  • Track expenses and ensure timely reimbursement of expense reports
  • Special projects and events as needed

Requirements Include:

  • College graduate preferred
  • Minimum of 7 years of administrative experience with C-Suite executive, real estate background a plus
  • Able to work independently and within a team setting
  • Microsoft Office proficient, advanced Excel and PowerPoint skills a plus
