Job Description

EXECUTIVE ASSISTANT TO THE RECTOR

The Executive Assistant provides high level executive administrative support in a one-on-one working relationship with the Rector and coordination with the Executive Director. The Executive Assistant serves in a "gatekeeper" and "gateway" role, as primary contact for internal and external constituents on matters pertaining to the Office of the Rector.

We are ideally looking for a full-time Executive Assistant, but for the right candidate, we would consider part-time.

Duties and Responsibilities:

  • Serves as administrative liaison and, on behalf of the Rector, communicates directly with Vestry, clergy, Executive Director, and/or other key staff.
  • Completes all scheduling, logistics, document preparation and communication for all Leadership and Vestry meetings, orientation and retreats.
  • Schedules additional meetings for staff, parishioners, and non-parishioners
  • Prepares and administers confidential materials, monitors Rector’s discretionary funds, and manages business and personal expenses.
  • Serves as liaison with parishioners, assuring that their requests and needs are handled by the appropriate staff in a timely fashion.
  • Manages Rector’s correspondence (primarily email) by responding on behalf of the Rector, delegating to appropriate staff, and alerting Rector to correspondence requiring action.
  • Ensures follow-up by Rector when necessary
  • Tracks completion of directives from Rector to staff
  • Handles all domestic and international travel arrangements for the Rector and assists in travel arrangements for all visiting clergy.
  • Manages the Rector’s schedule, considering the time needed for writing and speaking responsibilities.
  • Schedules the Sunday preaching and liturgical duties of all clergy on staff.
  • Supports the Executive Director with scheduling and special projects as needed

Qualifications:

The successful candidate will have:

  • Wholehearted support for the biblical and theological commitments of The Falls Church Anglican
  • 5+ years of experience as an executive assistant in a highly confidential role with a high level of executive function abilities
  • Excellent writer with the learned ability to write in the voice of the Rector
  • Demonstrated skill in working collaboratively, with demonstrated ability to also be extremely effective working independently
  • Maintains professional demeanor in all situations and proven ability to handle confidential information with discretion
  • Track record of exercising good judgment in a variety of situations
  • Able to work in fast-paced, high-pressure environment that is mission-driven, results-driven and community oriented
  • Self- confidence to take on unexpected work and manage it gracefully and creatively; adaptable to various competing demands, and comfortable in a fast-changing environment
  • Able to maintain a realistic balance among multiple priorities, and work independently on projects, from conception to completion.
  • Committed to achieving high performance goals and meeting multiple deadlines
  • Forward looking thinker with proactive approaches to problem-solving and strong decision-making capability
  • Flexible and able to work well with all levels of internal and external leadership as well as outside constituents and visitors.
  • Basic office technology skills: Microsoft Office suite, database, website, and spreadsheets
