Job Description

Our client, a gifting company based in Jericho NY, is looking for an Executive Admin Assistant to join their team ASAP on a temporary basis.

This role is full-time hours.

Responsibilities

• Support various executives with admin tasks, ensuring clear communication

• Manage complex calendaring and schedule meetings based on changing priorities

• Ensure the timely and accurate processing and payment for all invoices

• Book travel arrangements and maintain confirmations and itineraries

• Facilitate ordering of supplies and food orders as needed

• Coordinate meetings/ book conference rooms

• Manage incoming calls and emails - handling communications and forwarding to appropriate personnel when necessary

• Assist with completion of administrative paperwork and filing of important documents

• Other admin tasks as needed

• Maintain discretion and professionalism at all times

Qualifications

• 2-3+ years in administration supporting with calendaring & travel

• Skilled with Microsoft Suite

• Strong organizational and planning skills with a sense of priority for deadlines

• Attention to detail with a strong sense of urgency and follow-up

• Excellent interpersonal skills supporting a matrixed team environment

• Excellent communication skills, verbal and written

• Ability to recognize and react to changing work demands and complexities

• Excellent time & project management skills

• Strong sense of follow-up and urgency
