About the Role
We’re seeking a Executive Assistant to act as the strategic right hand to a high-performing CEO. This role blends executive administration, calendar and inbox management, travel and event coordination, and personal assistance.
You’ll manage a mix of business and personal priorities, keeping operations smooth and ensuring the CEO’s time is focused on the highest-value activities.
Salary : $50,000- 70,000

Key Responsibilities
Calendar & Meeting Management
Maintain and protect the CEO’s calendar, ensuring accuracy and efficiency.
Schedule meetings, speaking engagements, podcasts, and personal appointments with clear agendas and confirmations.
Batch meetings strategically to eliminate wasted time.
Review the calendar daily, weekly, and 6 weeks in advance for accuracy and optimization.
Inbox & Communication Management
Process the CEO’s inbox daily, maintaining inbox zero standards.
Filter, label, and prioritize communications so only the most critical reach the CEO.
Respond on behalf of the CEO using approved templates and tone.
Decline or accept invitations/opportunities based on established guidelines.
Travel & Event Planning
Arrange all aspects of travel — flights, hotels, transportation, itineraries — in alignment with CEO preferences.
Maintain detailed trip files all contacts, confirmations, and itineraries.
Coordinate special events such as Founder’s Dinners, corporate retreats, and speaking engagements.
Handle last-minute changes, delays, or cancellations with efficiency and professionalism.
Project & Task Management
Maintain a living Admin Meeting Agenda for daily/weekly syncs with the CEO.
Capture and organize CEO preferences for repeatable processes.
Daily:
Review CEO’s calendar and inbox
Create and update the daily to-do list
Prepare for CEO sync meeting
Weekly :
Audit CEO’s calendar for confirmations, travel, and commitments
Update family, personal, and business events
Qualifications
Experience with AI
Proactive problem-solver who anticipates needs and follows through
Ability to manage confidential information with the highest discretion
Strong organizational skills with a focus on efficiency and accuracy
Experience with Bill.com
