45k + Commission (Based on Experience)

Job Details 

Vandalay Brands, a Chicago-based restaurant group with 10 locations, is seeking an Assistant Event Coordinator to join the Vandalay Brands Catering and Events team! The ideal candidate will have production, set up, planning, and off-premise events experience, as well as hospitality and restaurant industry knowledge. Candidates should be able to perform calmly and effectively in a fast-paced environment, be an efficient multi-tasker, maintain a positive attitude and friendly demeanor, and work diligently with our team to ensure guest expectations are always exceeded.

In this position, the Event Coordinator will promote and represent the Vandalay Brands culture and values. They will report directly to the Director of Catering and Events and their daily focus will be on private events, buyouts and partnered events at Vandalay Brands locations and venues across Chicago. 

Location varies (100% On-Site)

Preferred Qualifications:

  • College degree in business or hospitality preferred. 
  • 2+ years experience working in high-volume restaurant, banquet or event operations.
  • Excellent verbal, written and interpersonal communication skills.
  • Excellent organizational and problem-solving skills.
  • Must have access to a vehicle. 
  • Knowledgeable about various event setups including reception, buffet, private dining, and off-premise catering and deliveries.
  • Must have weekend and evening availability.
  • Proficient in event and reservation management softwares; Tripleseat and Open Table.
  • Proficient in Canva.

Physical Requirements: 

  • Must be able to seize, grasp, turn and hold objects with hands.
  • Must be able to work on your feet for extended periods of time in a multi-level space with stairs. 
  • Must be able to lift at least 50 pounds.

Responsibilities 

  • Manage and respond to event inquiries daily, ensuring all leads are responded to the same day. (On average, 50+ leads per day)
  • Send lead follow ups daily to ensure that all are seen through to completion.
  • Manage calendar in Tripleseat, add bookings to reservation systems, and communicate with management teams in order to ensure events are appropriately booked to capacity at all locations. 
  • Print and maintain event contracts quickly and efficiently at all restaurants.
  • Ensure event contract details are up to date and communicated to managers and team at each location.
  • Assist on-site with setup and throughout guest experience to ensure all events are executed according to contract and exceed expectations.
  • Create and print menus, signage and floor plans as needed for events.
  • May be asked to assist with custom event decor, amenities or services for events.
  • Keep inventory of banquet materials.
  • Work a variety of days and shifts (including early mornings, late nights and weekends) at different locations as needed. 
  • Safely and effectively use and operate all necessary tools, utensils, equipment and software.
  • Handle any needed miscellaneous support tasks and other duties as assigned.
