Job Description

Program Coordination


  • Support Preschool and Pre-Kindergarten program operations, ensuring compliance with safety and quality standards through CQAT inspections.

  • Assist in planning and coordinating program events, including open houses, Kinder sneak peeks, and graduations.

  • Provide limited support for staff training and development.

  • Advise leadership on licensing requirements and compliance matters.

Account Management & Administrative Support


  • Serve as a point of contact for assigned campuses, addressing parent and staff inquiries.

  • Manage the registration process, including documentation collection and system monitoring for assigned campuses.

  • Process payments, subsidies, billing plans, and account adjustments.

  • Maintain program databases and track enrollments and payments.

Customer Service & Communication


  • Respond to phone calls and emails, addressing routine and non-routine inquiries.

  • Act as a liaison between internal teams and parents/guardians.

  • Build and maintain positive relationships with clients, staff, and vendors.

  • Provide professional communication and reporting for stakeholders.

Account Management


  • Oversee program admissions and billing, including customer support and marketing efforts.

  • Manage the registration process via Brightwheel, ensuring timely collection of required documentation.

  • Handle incoming calls and emails, responding to routine and complex inquiries.

  • Administer billing for preschool and Pre-K programs.

  • Assist with system-related inquiries and provide training to relevant staff.

Education & Certifications


  • Bachelor's degree required.

  • 3-5 years of experience in an early childhood program (preferably as a program director).

  • IVP Level One Fingerprint Clearance Card required.

Skills & Experience


  • Strong background in early childhood education, program coordination, and administrative support.

  • Proficiency in office management systems, data analysis, and reporting tools (e.g., Excel).

  • Customer service experience with the ability to build and maintain relationships.

  • Spanish bilingual preferred.

  • Excellent time management, organizational skills, and attention to detail.
