Job Description

Bilingual Administrative Assistant

Responsibilities:

• Greet and welcome guests as soon as they arrive at the office

• Answer, screen, and forward incoming phone calls

• Reply to email, telephone, or face to face inquiries

• Provide basic and accurate information in-person and via phone/email

• Provide general support to visitors

• Maintain supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies

• Organize travel arrangements for senior managers

• Book conference calls, rooms, taxis, couriers, hotels etc.

• Ensure operation of equipment by completing preventive maintenance requirements; calling for repairs; maintaining equipment inventories; evaluating new equipment and techniques

• Carry out administrative duties such as filing, typing, copying, binding, scanning etc.

Personal Responsibilities:

• Assist with all types of reservations and appointments

• Assist house staff with scheduling service calls for any house repairs

• Assist with purchase requests and returns

Requirements:

• Proven admin or assistant experience

• Customer service attitude

• Knowledge of office management systems and procedures

• Excellent written and verbal communication skills

• Strong organizational and planning skills

• Minimum of 2 years’ experience working with executives and their team in a similar capacity preferred

• Financial Services background a plus

• Proficient computer skills, with strong focus on Microsoft Office Suite

• Bilingual English/Spanish
