Position Overview:
Our client is looking for a reliable and organized Administrator to oversee and support day-to-day administrative operations. The ideal candidate will manage office functions, handle internal and external communications, and assist with documentation, scheduling, and data entry tasks. This role is essential in ensuring smooth workflow and effective support across departments.
Key Responsibilities:

  • Perform general administrative duties such as answering phones, responding to emails, and managing correspondence

  • Maintain organized filing systems (digital and physical)

  • Schedule and coordinate meetings, appointments, and events

  • Prepare and edit documents, reports, and presentations

  • Handle data entry, recordkeeping, and database management

  • Support budgeting, invoicing, and expense tracking tasks

  • Order and manage office supplies and equipment

  • Liaise with vendors, clients, and service providers as needed

  • Ensure the office runs smoothly and complies with company policies and procedures
Qualifications:

  • High school diploma or equivalent required; associate's or bachelor's degree preferred

  • 2+ years of experience in administrative or office support roles

  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)

  • Strong organizational and time management skills

  • Excellent written and verbal communication skills

  • Ability to multitask and work independently with minimal supervision

  • Attention to detail and problem-solving skills
Preferred Skills:

  • Experience with office management tools or CRM software

  • Familiarity with accounting, HR, or project coordination is a plus
Determining compensation for this role (and others) at Vaco/Highspring depends upon a wide array of factors including but not limited to the individual's skill sets, experience and training, licensure and certifications, office location and other geographic considerations, as well as other business and organizational needs. With that said, as required by local law in geographies that require salary range disclosure, Vaco/Highspring notes the salary range for the role is noted in this job posting. The individual may also be eligible for discretionary bonuses, and can participate in medical, dental, and vision benefits as well as the company's 401(k) retirement plan.
