Project Manager

ABOUT THIS ROLE

We are seeking a highly organized and detail-oriented Project Coordinator with a growth mindset to play a crucial role in the successful execution of tactical initiatives within our company. This position requires a proactive individual with strong technical acumen, the ability to anticipate needs, manage multiple tasks simultaneously, and ensure projects are completed on time and within budget. Reporting directly to the CEO, this role offers a unique opportunity to contribute significantly to the company's growth and success. Great attitude and strong work ethic matter more than direct experience.

We are a hybrid workplace with two filming studios in Carpinteria and Ojai, California. Most of our teammates live in the Southern California area and work from home unless required to be on set, attend special meetings, or required company gatherings.

This role requires being no further than 45 minutes from Ojai, California as regular in person meetings will be necessary. Our working hours are 9:00am to 5:30pm PST, Monday through Friday.

RESPONSIBILITIES

  • Project Planning and Execution: Assist in defining project scope, goals, and deliverables. Develop detailed project plans, timelines, and resource allocation strategies. Track project progress and identify potential roadblocks. 
  • Coordination and Communication: Facilitate communication and collaboration among project team members, stakeholders, and external vendors. Organize meetings, prepare agendas, and distribute meeting summaries and action lists. Act as a central point of contact for project-related inquiries.
  • Resource Management: Assist in the allocation and management of project resources, including personnel, budget, and materials. Track expenses and ensure projects stay within budget.
  • Risk Management: Identify and assess potential project risks and develop mitigation strategies. Proactively address issues and escalate concerns to the CEO as needed.
  • Documentation and Reporting: Maintain accurate and up-to-date project documentation, including project plans, progress reports, and meeting minutes. Prepare regular reports on project status and performance for the CEO.
  • Process Improvement: Identify opportunities for process improvement and contribute to the development of best practices for project management.
  • Proactive Problem Solving: Anticipate potential challenges and proactively develop solutions. Demonstrate a strong ability to think several steps ahead and prevent problems before they arise.
  • Special Projects: Assist the CEO with special projects as needed, which may include research, data analysis, and presentation preparation.

QUALIFICATIONS

  • Bachelor's degree in Business Administration, Project Management, or a related field preferred.
  • Proven experience as a Project Coordinator or in a similar role.
  • Exceptional attention to detail and organizational skills.
  • Strong technical acumen and digital literacy.
  • Curious with a growth mindset.
  • Demonstrated ability to manage multiple projects simultaneously and prioritize tasks effectively.
  • Excellent communication, interpersonal, and collaboration skills.
  • Strong problem-solving and analytical skills.
  • Ability to work independently and as part of a team.

  • Ability to anticipate needs and think proactively.

  • Ability to quickly learn new softwares and systems of workflow.
  • Proficiency in project management software (e.g., Asana, Jira, Trello, Monday.com) and Google Workspace. 
  • Familiar with remote working tools like Zoom and Slack.
  • A passion for Pilates, yoga, and or another fitness modality.

COMPENSATION AND BENEFITS

Compensation depends on experience and ranges from $25 per hour to $40 per hour. Benefits package consists of PTO, healthcare, and 401(k) savings plan with a company match. Working days are Monday through Friday, 9:00am to 5:30pm PST.
